Responsibilities:
- Support the Business Administration Department: Provide comprehensive administrative support to the BA department, ensuring smooth operations and efficient workflow
- Organizational Support: Assist all departments and staff with organizational matters such as training, events coordination, and other administrative tasks as required
- Visitor Assistance: Extend support and assistance to visitors, including arranging accommodation, transportation, flight bookings, and visa/residency card assistance to ensure their smooth experience
- Invoice Processing: Prepare payment vouchers for bank transfer invoices, ensuring accuracy and compliance with internal procedures
- Petty Cash Management: Manage petty cash transactions and maintain accurate records Handle rate book bookings efficiently
- Reporting: Compile weekly and monthly reports summarizing departmental activities and achievements for review and analysis
- Document Management: Facilitate access and prepare offsite letters for suppliers and expatriates as needed
- Technical Support: Provide assistance to the technical department, field service team, and clients during minor and major outages, ensuring timely resolution and customer satisfaction
- Badge Renewals: Manage employee and vehicle badge renewals with clients, ensuring compliance with all necessary regulations and procedures
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or a related field preferred
- Proven experience in administrative support roles, preferably in a corporate or technical environment
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Excellent organizational and multitasking abilities with keen attention to detail
- Strong communication and interpersonal skills, with the ability to interact effectively with colleagues and external stakeholders
- Ability to work independently and collaboratively within a team, prioritizing tasks effectively to meet deadlines
- Knowledge of basic accounting principles and experience with invoice processing is an advantage
