Job Purpose
The Documentation Supervisor is critical in monitoring daily operations and ensuring a smooth shipment release process for both import container release and export Bill of Lading release. The role requires strict adherence to legal and Group standards while working towards continuous customer satisfaction. This position is responsible for overseeing documentation accuracy, coordinating with various internal and external stakeholders, and resolving issues related to the Vessel Shipments Releasing Cycle. The Documentation Supervisor will work closely with Customer Service, Cargo Readiness, Shared Services Department, and other agencies and departments to ensure minimal shortfalls and cost efficiency. With a strong understanding of Iraqi shipping regulations and operational requirements, the role demands excellent attention to detail, problem-solving skills, and leadership capabilities. The successful candidate must also demonstrate practical communication skills, a customer-focused approach, and the ability to manage documentation processes efficiently. This position reports directly to the Customer Care Manager.
Key Responsibilities
- Monitor day-to-day operations to ensure smooth shipment release
- Conduct a final check on all required documents (Bill of Lading, Delivery Order, Letters of Indemnity, etc) before shipment release
- Handle Delivery Orders by cross-checking documentation authenticity, issuing invoices, and managing payment collection
- Follow up with customers, GBS, Operations, and Customer Care teams to ensure minimal shortfall on each vessel and cost efficiency
- Revalidate delivery order expiry dates when necessary, ensuring compliance with payments
- Generate weekly reports to track documentation performance and efficiency
Requirements
- Minimum (3-5) years of experience in the shipping industry, Freight Forwarding or any relevant field particularly in Customer Service and/or Documentation roles
- Strong understanding of Iraq’s geography and shipping regulations
- Excellent communication skills, with the ability to liaise with customers, senior leaders, and middle management
- Proven ability to lead a team and ensure successful implementation of departmental and company objectives
- Strong customer service skills and ability to build long-term professional relationships
- High level of attention to detail, ensuring compliance with internal policies and external regulations
- Proficiency in Microsoft Office Suite – Excel, Word, PowerPoint, and Outlook for data management, reporting, and presentations
- Ability to adapt and work effectively under pressure, managing tight deadlines and high workloads while maintaining accuracy and professionalism
- Fluency in English and Arabic (language skills will be tested)
- Proficiency in shipping documentation systems and software is an advantage
