mselect is seeking an HR Coordinator for an esteemed international energy client based in Basrah, Iraq. Candidates must have a minimum of 5 years of relevant experience. Fluency in English and Arabic is a must.

MAIN ACCOUNTABILITIES
  • Oversees the onboarding process, HR administration, file keeping and compliance for contracted personnel within the organization
  • Act as the main point of contact for all HR-related inquiries from contracted personnel, their managers, and manpower supply agencies, ensuring efficient onboarding, compliance with contractual obligations, and accurate HR data management
  • Implement the best HR Operations practices, fair and consistent policies
  • Continuously develops good working relations with projects, affiliate’s entities, and service providers
  • Protects the interest of the affiliate and the Company in accordance with the Company/Brach standards and Iraqi legislation
  • Promote HR Policies and corporate culture and values. Promote cost culture
HSE :
  • Responsible for full compliance with Iraqi laws and contractual obligations
  • Responsible for confidentiality of personal information and contractual terms and conditions
Onboarding:
  • Collaborate with Organizational Effectiveness and Planning and Talent Acquisition and Development departments to ensure timely take-over of the selected candidate for further integration
  • Oversee the administrative activities to integrate the newcomers as per the onboarding procedure (profile and various accounts creation, informing internal stakeholders, organizing various meetings and events etc)
  • Ensure the sufficiency and coherence of the staffing documents to onboard the newcomer, including, but not limited to, work permitting documentation
  • Ensure the necessary paperwork to formalize the contract, create necessary records in the internal systems (e.g. Staffing event in the HRIS/databases, etc.)
  • Ensure alignment with the Working Scheme Conditions and cost-efficiency of the contract. Suggest optimization of the additional cost (if applicable, e.g. transportation optimization for group(s) of personnel etc.)
  • Contract Administration and Compliance:
  • Act as focal point for all contracted and directly hired personnel, their managers, manpower supply agencies for the questions related to attendance and absences, HR files and records, contractual
  • obligations, working scheme conditions etc
  • Responsible for proper HR administration of personnel including but not limited to personal information (ID, qualification, family etc), working time (timesheets, overtime, leaves and other absences, no-show etc), validity of the permitting documentation (fit-to-work, certificates, etc).
  • Monitor the respect of the working schedule and process the requests for overtime work, absences, coordinating with respective managers and suppliers. Ensures timely provision and validation of the timesheets.
  • Ensure the compliance to  internal policies and procedures, Iraqi laws and regulations and frame contracts. Duly inform the concerned personnel of all modifications to administrative rules.
  • Follow-up the proper onboarding of personnel, in coordination with Talent & Acquisition Department and other stakeholders
Data Administration:
  • Maintain accurate and up-to-date personnel-related data in HR databases and tools
  • Responsible for strict application of internal rules and regulation regarding the data management, including, but not limited to, confidentiality of any personal data or contractual terms and conditions
Invoicing and Reporting:
  • Coordinate timely and correct invoicing, providing necessary clarifications to budget holders and finance.
  • Ensure the correctness of any reimbursements to manpower agencies.
  • Maintain HR filing and reporting, both regulatory and internal, in compliance with relevant requirements.
Other:
  • Proactively contribute to optimization of internal practices and reporting, identifying opportunities for automation and streamlining of HR processes.
  • Participate in various HR projects

KEY REQUIREMENTS
  • Bachelors degree, with least 5 years of professional experience in personnel HR administration.
  • Excellent knowledge of Iraqi Labour legislation.Knowledge of contract management, HR compliance relevant to direct and contracted workers.
  • Strong attention to detail and data accuracy
  • Familiarity with HRIS and other HR software for efficient data management and reporting, general PC proficiency Fluent English (written and oral), Arabic.
  •  Excellent interpersonal and communication skills, with the ability to build positive relationships with external partners and internal stakeholders.
  •  Strong organizational skills, discreet, responsible and having a sense of duty, team playing profile. Cross-cultural thinking. Good written and oral communication, negotiation skills.
