KEY ACCOUNTABILITIES
- To ensure smooth transport & customs operations and guarantee the quality of Freight Forwarding and supply in terms of time, quality and cost
- To train and supervise team members
- Ensure execution and delivery of approved Freight Forwarding Agents as per their contractual obligations
- Coordinate import and export shipment services to ensure timely delivery of materials
- Track and follow-up all shipping (Import/Export) operations from origin across the world, to delivery at company approved receiving facilities
- Supervise shipping operations, execution monitoring and follow up of all related activity
- Interface with logistics concerning pre-alerts (space allocation in view of free flow of ship Disembarkation)
- Coordinate customs clearance process to improve time frame (Pre-Clearance)
- Follow-up and resolve all matters regarding damaged goods and materials due to transport operations
- Confirm and follow-up the return of empty containers and control demurrage
- Participate in tripartite meetings
- Prepare, scan, & attach all necessary Import documentation into SAP to facilitate Logistical movement to Sites
- Ensure or participate in the training of Transit Officers and Transit Junior Officers of his/her team
- Follow-up on import licenses
- Ensure efficient and updated tracking/tracing system in liaison with the Freight Forwarding Agent (FFA)
- Ensure that the pre-alerts are done in time by Freight Forwarding Agent (FFA) & collections / consolidations
- Ensure that all materials have necessary paperwork for smooth clearing processes by customs
- Maintain records and proper filing systems “physically and electronically” within transit tools
- Ensure that all materials cleared by the customs are promptly delivered to the destination point without delay
- Respond to any communication/notification that may arise from Company users or Authorities
- Track litigation or fines from customs
- Ensure Customs clearance, import/export activities comply with Company Rules, Procedures and Instructions and applicable legislation
- Analyze the performances of the freight forwarding service providers by putting in place key performance indicators to ensure these providers are in line with Affiliate’s rules and principles
- Act as an example in compliance to client’s rules and procedures
- Promote awareness and provide guidance regarding to the execution of the H3SE rules, both for company staff & suppliers, while maintaining the contractor's legal obligations
- Ensure that H3SE clauses are included in C&P documents & H3SE performance is monitored
- Notify relevant staff on accidents, incidents and near-misses and initiate corrective actions
REQUIREMENTS
- University/bachelor’s degree or equivalent certified experience
- Minimum 10 years’ experience in the Oil and Gas industry with at least 6 years in Freight Forwarding
- Technical competence at Intermediate level in Freight Forwarding and Certification in transit tools required
- Good interpersonal, problem solving, planning and organization skills
- Fluency in English and Arabic is a must
