mselect is looking to hire a M&E Administration Assistant for an international oil and gas operator in Basrah, Iraq. Candidates must have at least 3-4 years of relevant experience. Fluency in English and Arabic is a must.

JOB PURPOSE
This role provides comprehensive administrative support to the Maintenance & Engineering Manager and team.

KEY ACCOUNTABILITIES
  • Provide administrative support to the Maintenance & Engineering Manager and the team, collaborating with other administrative and technical support staff
  • Assist the M&E Leadership Team based in Basrah
  • Serve as a translator/interpreter when necessary
  • Coordinate meeting logistics
  • Booking conference rooms, arranging equipment, and catering
  • Managing interactions with internal and external attendees
  • Tracking attendance confirmations
  • Distributing agendas, taking meeting minutes, and circulating them
  • Arranging transport logistics, as needed
  • Build and maintain strong relationships globally, particularly with client’s staff
  • Manage Maximo DR approvals and authorizations
  • Organize team events, town halls, and activities
  • Assist Project Managers with ad hoc requests, particularly those focused on documentation, team coordination, and office management (e.g. office moves)
  • Create and edit reports and presentation materials
  • Handle emails, including processing, redirecting, or escalating them in the absence of the intended recipient
  • Onboard new team members by coordinating with IT to ensure they receive the necessary equipment
  • Perform general office administration tasks such as logging IT requests and faults, ordering stationery, welcoming guests, and managing photocopying Ensure visitors to the team are escorted when required

REQUIREMENTS
  • Experience in a similar role, ideally within a comparable industry
  • Familiarity with administrative duties and support functions at the team or department level is essential
  • A university degree in Business Administration, Management, Economics, Accounting, or a related field, providing a strong foundation in administrative and organizational principles
  • Proficient in the use of MS Office applications (Excel, Word, PowerPoint, Outlook), with the ability to produce professional reports, manage data, and organize information efficiently
  • Independent Problem-Solver, Ability to assess requirements and take initiative with minimal supervision, showing a proactive approach to task completion
  • Strong Communication & Cultural Awareness Open, communicative, and adaptable to working in multicultural environments Excellent verbal and written communication skills, with the ability to build rapport and manage interactions with internal and external stakeholders at all levels
  • Relationship Builder Exceptional interpersonal and networking skills, with a track record of maintaining strong working relationships and collaborating effectively with colleagues
